Job Purpose:

As a Senior Administrative Assistant, your role is pivotal in providing high-level administrative support to the US Novartis Venture Fund (NVF) team, representing the global NVF team and brand with a professional demeanor. You should be a highly motivated, organized, and self-directed individual with a strong attention to detail, capable of managing multiple projects simultaneously with minimal supervision. Proactive thinking, working both independently and as a team member, and dealing with various levels of the NVF team and partner organizations are essential aspects of this role, requiring tact, diplomacy, discretion, and sound judgment.

Responsibilities:

  • Efficiently manage team calendars, catering to demanding and conflicting deadlines, and support team members across global sites.
  • Coordinate administrative support for the group and demonstrate effective leadership and collaboration among the administrative staff.
  • Prepare presentations, correspondence, and other materials.
  • Handle travel arrangements and monthly expense reports, ensuring accuracy and policy compliance.
  • Oversee vendor management, including invoicing and payments, within the department.
  • Coordinate logistics for both domestic and international external and internal meetings, preparing meeting materials, including PowerPoint presentations.
  • Participate in process improvement efforts.

This role is based in Cambridge, Massachusetts.

The starting salary for this position is anticipated to be in the range of $66,000 to $99,000 per year, subject to variations in the job market and other factors. Final pay determinations will depend on multiple factors, including geographical location, experience, skills, and qualifications, among others. The compensation package may also include elements such as a sign-on bonus, restricted stock units, and discretionary awards, as well as a range of medical, financial, and other benefits, depending on the position offered. Please note that the company reserves the right to adjust the base salary and compensation package as needed.

Role Requirements:

Education:

  • An Associate Degree or Bachelor’s Degree is preferred.
  • Project management certification is a plus.

Work Experience:

  • A minimum of 5 years in a senior administrative role supporting senior management/Vice Presidents and leadership team members.
  • At least 5 years of experience in a large, dynamic, fast-paced, and highly matrixed organization, with prior experience in a pharmaceutical company being advantageous.
  • Advanced proficiency in Microsoft Word, PowerPoint, Excel, and Outlook is required, and familiarity with internal Novartis systems is preferred.
  • Strong integrity, experience in handling sensitive information, and a track record of resourcefulness and problem-solving.
  • Excellent organizational skills with a high attention to detail, coupled with the ability to deliver work accurately and promptly.
  • Self-motivated, with excellent interpersonal skills and the capability to build and maintain professional relationships.
  • Initiative, proactive communication skills, and strong follow-through are vital, and you should be able to work both independently and as a team member in a fast-paced environment.

Languages:

  • Fluency in English is required, encompassing both oral and written communication skills.
