Job Summary:

As an Executive Casting Assistant, you will play a vital role in providing administrative support to the SVP of Casting & Talent at Freeform & Onyx Collective. Your responsibilities will encompass various tasks such as scheduling meetings, coordinating calls and video conferences, managing incoming and outgoing communications, arranging travel, handling expense reports, and other administrative duties. In this position, you’ll be expected to maintain a professional demeanor and communication style, effectively representing the executive office in interactions with senior executives both within and outside the company. Discretion and integrity are of paramount importance, given the sensitive and confidential nature of the role. The ideal candidate should be highly detail-oriented, organized, and adept at managing multiple priorities within tight deadlines. Multitasking will be a key skill, and you should be a proactive self-starter who takes ownership and initiative. The role will also require flexibility in work schedule and the ability to provide support to the SVP and other team members as needed.

Responsibilities:

  • Provide comprehensive administrative support to the SVP.
  • Manage scheduling and the calendar for the SVP.
  • Handle travel arrangements, reservations, and related tasks on behalf of the SVP.
  • Prepare and submit expense reports on behalf of the SVP.
  • Assist in talent outreach initiatives in collaboration with the SVP and the team.
  • Collaborate with talent relations and publicity teams when necessary.
  • Offer backup support for Freeform and Onyx Collective projects.
  • Edit and upload actor materials, including auditions and demo reels.
  • Maintain strict confidentiality in all matters and documents.
  • Oversee department and project contact lists.
  • Prepare presentations for internal and external meetings.

Basic Qualifications:

  • Minimum of 2 years of experience in an executive administrative role within the entertainment, studio, or network industry, preferably at a casting or talent agency.
  • Proficiency in using Outlook, Word, Excel, and PowerPoint.
  • Familiarity with IMDbPro, Studio System, PIX, and Cast It Systems is advantageous.
  • Exceptional verbal and written communication skills.
  • Ability to efficiently see tasks through to completion and meet deadlines.
  • Strong attention to detail, organizational skills, and the capability to handle multiple tasks with proactive problem-solving skills.
  • Proven experience in handling confidential and sensitive information.
  • Outstanding communication skills essential for interactions with high-level executives, staff members, talent, and visitors.
  • Team player mindset within the department and readiness to provide assistance when required.
  • Genuine interest in casting and an appreciation for talent, along with a desire to expand knowledge in this area.

Required Education:

  • Bachelor’s Degree or equivalent work experience

**Please note that if hired, you will need to be flexible to work between 2 locations: 3800 W Alameda and 10201 W Pico Blvd.

The hiring range for this position in Burbank, CA is $51,120 to $70,290 per year based on a 40-hour workweek. The weekly hours scheduled may vary based on business needs. The actual base pay offered will consider internal equity and may vary depending on geographic region, job-related knowledge, skills, and experience, among other factors. The compensation package may include a bonus and/or long-term incentive units, in addition to a full range of medical, financial, and other benefits, depending on the level and position offered.
