About Us: International Business Times is in search of an Administrative Assistant who can efficiently manage front-desk receptionist duties and various administrative tasks virtually. There’s also the option of transitioning to an in-office role in our New York office at a later time.
Key Responsibilities:
- Calendar Management: Assist with scheduling for executives and other staff, even across different time zones. Proficiency in using Google Calendar is essential.
- Financial Support: Collaborate with the finance director by preparing reports, gathering data, and more.
- Job Posting: Handle the posting of job ads across both internal and external platforms.
- Office Management: Act as the primary point of contact for building management and vendors, ensuring the smooth operation and cleanliness of our office. Coordinate office maintenance for any facility-related issues, repairs, cleaning, or improvements.
- Vendor Relationships: Negotiate and manage vendor contracts, maintain the office budget, and handle invoices and expenses.
- Telecommunications: Liaise with vendors regarding copiers, telephony, and troubleshoot any related issues.
- Utility Inquiries: Address inquiries related to utilities from our NY sites, such as Verizon and Con Ed.
- Additional Responsibilities: Perform other duties as assigned.
Qualifications:
- Calendar Coordination: Experience in coordinating calendars and scheduling high-level meetings, particularly using Google Calendar across various time zones.
- Communication Skills: Strong verbal and written communication skills, keen attention to detail, and the ability to prioritize multiple requests and deadlines.
- Team Player: Collaborative, highly discreet, and excellent at decision-making.
- Resourcefulness: A flexible, detail-oriented self-starter with strong multitasking abilities and proactive problem-solving skills.
- Digital Proficiency: Comfortable using various digital tools, including Excel, Google Docs, and similar software.
